5.G.1.5 Security and Restricted Access of Parochial Registers and Records
1. Registers, their records and supplemental documents are to be kept in a secure place on the premises of the parish, church or diocesan facility which is authorized to contain them. When not in use, they are to be kept in the safe or a locked room. The humidity and temperature in which the safe is kept needs be kept as stable as possible.
2. They may never be removed from the facility for any reason, including restoration, conservation or binding, without the written permission of the diocesan bishop, the chancellor, the vice chancellor or the archivist. Any conditions which the permission sets for security, use, duplication or publication must be strictly observed.
3. Except as these norms provide, the registers, supplemental documents and the information that they contain cannot be provided in any form, including copy, to any individual or institution, or inspected by them, without the written permission of the diocesan bishop, the chancellor, the vice chancellor or the archivist.
